Privacy Policy

Terrace is operated by OMG Systems ("we", "us") in Toronto, Ontario, Canada. This policy explains what personal information we collect through the Terrace platform, how we use it, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

What we collect

  • Account information. Your name, email address, password (stored as a hash), RECO registration number, and brokerage or team details you provide.
  • Workspace content. Contacts, deals, checklist items, documents, marketing content, and notes you or your connected services create in your workspace.
  • Call records. When you connect a phone line, calls are recorded, transcribed, and summarized so you can review them. Transcripts live in your workspace.
  • Usage and log data. Actions taken on the platform are recorded in an append only activity log for safety, audit, and support.

How we use it

  • To provide the platform: marketing, lead handling, and compliance workflows.
  • To keep an audit trail of automated and human actions.
  • To secure accounts, prevent abuse, and meet legal obligations.
  • To improve the product using aggregate, de-identified usage patterns.

We do not sell personal information. We do not use your workspace content to advertise to third parties.

Service providers

Terrace runs on infrastructure and services that process data on our behalf, including database and authentication hosting (Supabase), and, where you choose to connect them, your own accounts with services such as GoHighLevel (texts, calendars, conversations), a voice AI vendor (call answering and transcription), and Meta (advertising). Each connection is yours: you authorize it, and you can disconnect it. Providers only receive the data needed to perform their function.

Your rights and choices

  • Access and export. You can export everything in your workspace as JSON at any time from Settings.
  • Correction. You can edit your account and workspace information in the app, or ask us to correct it.
  • Deletion. You can request deletion of your account and workspace. Some records may be retained where the law or regulatory record keeping requires it.
  • Withdrawal of consent. You can disconnect any connected service at any time.

Retention and security

We keep personal information only as long as needed for the purposes above or as required by law, including real estate record keeping obligations that may apply to your brokerage. Data is encrypted in transit, access is controlled per workspace with row level security, and documents live in private storage restricted to your workspace.

Clients and third parties

As a real estate professional, you may store information about your own clients in Terrace. You are responsible for having the authority to do so. We process that information solely on your instructions as part of providing the platform.

Changes and contact

If we make material changes to this policy we will notify you in the app or by email. Questions or requests can be sent to info@omgsystems.ca. You may also contact the Office of the Privacy Commissioner of Canada if you have concerns we have not resolved.
